Photo booth hire is almost always quoted as a package: a set number of hours, an attendant, a backdrop and some form of print. The number in the headline is rarely the number you pay, because the parts couples care about most tend to sit outside it.

The hours are the part to read first. Most packages cover two to four hours, and a wedding reception runs longer than that. Check when the clock starts—setup or first guest—and what happens if the booth is idle during dinner or speeches.

Three things move a booth quote more than anything else: extra hours, travel and the print package. Extra hours are usually charged at a flat hourly rate that is higher than the effective rate inside the package, so a four-hour reception on a three-hour package is not a small adjustment.

Idle time is the one couples miss. If the booth is set up at 3pm but nobody uses it until 8pm, some suppliers charge an idle or standby rate for the gap. Ask for that in writing, because it can quietly add an hour or two of billing to an evening you thought was covered.

A total on its own is hard to argue with. Two derived numbers make it comparable to everything else in the budget.

Cost per guest tells you what you are paying for each person in the room—though a booth only ever reaches the people who queue, so the real cost per participating guest is higher. Cost per hour tells you what each hour of the reception costs. Once you have both, a booth quote can be weighed against a band, a late bar or any other way of spending the same money.

Cost is often not the reason a booth gets cut. A booth needs floor space, a nearby power point and a route in—and older or listed venues frequently have none of the three in the same room. Ask your venue before you ask suppliers for quotes.

There is also the queue. A booth serves one group at a time. At a hundred-guest wedding with a three-hour hire, a large share of the evening goes on waiting for a turn, which is time nobody spends dancing. That constraint does not appear anywhere in the price.

A booth gives you a strip of prints, a guestbook page if you paid for one, and a gallery of posed frames taken in a single corner. That is a real keepsake, and for some couples it is exactly the point.

It is worth being clear about what it is not: coverage. The booth cannot photograph the speech from your cousin's seat, the table that never stopped laughing or the last hour after the supplier packed down. If that is the outcome you actually want, price a guest album against the booth rather than alongside it.

Put the all-in figure next to what you want from the evening. If you want an activity and something guests hold on the night, a booth earns its place and the calculator tells you the honest price.
